Description:Position Description: This is a full-time, Unclassified Professional Staff position reporting to the Acquisitions and Metadata Librarian. This position assists with the oversight of financial assets, communicates with the University Business Office, and is responsible for maintenance and completion of payments for resources in various formats. The employee in this position coordinates the receiving and processing of print and electronic federal, state and foreign, and United Nations government documents. The incumbent performs advanced tasks to assist in acquiring, organizing, and paying for the resources of the University library; including completing invoice work on the library management system and contacting vendors with payment information. Duties include reconciling charges in the University software and financial system and collaborative work with the University Business Office to ensure alignment with the State of Kansas payment procedures. The employee corrects problems with shipments and invoices and maintains contact with vendors. The employee assists with accurate and consistent compilation of statistics related to the use of Government Documents on a monthly and annual basis. In the resource management process, the employee adheres to the Legal Requirements and Program Regulations of the Federal Depository Library Program. The employee may provide oversight to student employee(s).
Responsibilities:Examples of Specific Duties: •Assists with ordering and receiving of monographs •Contacts vendor for payment of invoices with credit card •Creates and approves invoices for payment in the library management system •Records financial transactions and process invoices to ensure accurate attribution of financial commitment and spend to appropriate funds within the Library materials budget •Investigates and resolves payment discrepancies •Verifies monograph deliveries against invoices and maintains records of monograph acquisitions •Performs elementary descriptive cataloging using automated bibliographic database •Oversees monograph and Government Document processing •Supervises uploading and checking of the Marcive bibliographic records based on the Government Printing Office profile •Resolves routine problems in technical procedures •Performs a variety of library clerical tasks, as assigned •Performs related work as required
Minimum Qualifications:•Associate’s degree •Accounting experience in a business setting or through coursework •Experience performing standard office-tasks such as filing and use of computer systems in daily work •Experience with Microsoft Word and Excel •Strong written communication skills
Preferred Qualifications:•Bachelor’s degree •Experience working with library acquisitions •Familiarity with library systems and workflows •Knowledge of basic library methods, techniques, and procedures •Knowledge of automated systems as they apply to monograph processing •Ability to maintain library records and carry out library procedures •General knowledge of accounting practices, receiving invoices, and processing payment information •Knowledge of standard office technologies •Considerable ability to understand and follow written and oral instructions •Strong oral communication skills •Strong attention to detail •Ability to work in a team but also able to work with minimal supervision
